1. Overview

ConditionHQ ("we", "us", "our") is operated by Futureman Labs. This privacy policy explains how we collect, use, and protect your personal information when you use our website at conditionhq.app and our condition report software.

2. Information We Collect

Waitlist & Account Information: When you join our waitlist or create an account, we collect your email address and any information you voluntarily provide (such as your role, agency name, or feedback).

Usage Data: We collect anonymous usage data including pages visited, features used, and general interaction patterns to improve our product.

Condition Report Data: When you use our software, we store the condition reports you create, including photos, descriptions, and property details. This data belongs to you.

Mobile App Data: When you use the ConditionHQ mobile app, we collect and process the following:

• Camera & Photo Library: With your permission, we access your device camera to capture condition photos and your photo library to attach existing images. Photos are stored locally on your device and, if you enable sync, uploaded to your ConditionHQ account.
• On-Device Storage: Draft reports are stored in encrypted local storage on your device so you can work offline. This data stays on-device unless you explicitly sync or export a report.
• Network State: We detect your device's connectivity status to queue changes for sync when you're offline. We do not collect location data.

3. How We Use Your Information

We use your information to:

• Provide and improve our condition report software
• Send account holders occasional tips and product updates by email (every email has an unsubscribe link)
• Send you product updates and launch notifications (waitlist)
• Respond to your questions and support requests
• Generate AI-powered condition descriptions from your photos
• Analyse usage patterns to improve the product

We do not sell your personal information to third parties.

4. Data Storage & Security

Your data is stored securely using industry-standard encryption in transit and at rest. We use Australian and international cloud infrastructure providers. We implement appropriate technical and organisational measures to protect your data.

5. Your Rights

The optional landlord, tenant, property manager or Other question helps us understand product use and tailor in-product guidance. Skipping leaves the role unknown. Role responses are stored in your profile and product analytics; they do not enrol you in marketing communications. Marketing preferences remain separate.

Reports created in or shared with an Agency workspace, including photos and PDFs, are available to its current members. Removing a member ends online access, but an offline device may keep cached access until reconnecting and previously exported files cannot be recalled. Agency PDF exports include report-specific photo links accessible to anyone holding the PDF. Current team members can revoke these links from the report review screen. Revocation stops subsequent link access but cannot remove copies already downloaded. On account deletion, personal reports are removed while shared team reports may remain for the team with a non-login creator reference. We store terms acknowledgement records linked to your account, including the terms version, server timestamp and source platform. Purchase and allowance records are processed to verify payment, prevent duplicate credits and handle refunds. We do not store your card details.

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your account and data
• Unsubscribe from marketing communications at any time
• Export your condition report data

6. Cookies

We use essential cookies for site functionality and analytics cookies to understand how visitors use our site. You can control cookie settings in your browser.

7. Third-Party Services

We use third-party services to operate our product:

• Vercel — website hosting
• Supabase — database, authentication, and file storage
• Google Gemini API — cloud AI vision for generating condition descriptions from photos when cloud mode is enabled
• Stripe, Apple and RevenueCat — payment processing and purchase verification for subscriptions and one-off reports
• Email delivery providers — for transactional and marketing emails

These providers have their own privacy policies and are bound by data processing agreements where required.
