Waitlist & Account Information: When you join our waitlist or create an account, we collect your email address and any information you voluntarily provide (such as your role, agency name, or feedback).

Usage Data: We collect anonymous usage data including pages visited, features used, and general interaction patterns to improve our product.

Condition Report Data: When you use our software, we store the condition reports you create, including photos, descriptions, and property details. This data belongs to you.

Mobile App Data: When you use the ConditionHQ mobile app, we collect and process the following:

• Camera & Photo Library: With your permission, we access your device camera to capture condition photos and your photo library to attach existing images. Photos are stored locally on your device and, if you enable sync, uploaded to your ConditionHQ account.
• On-Device Storage: Draft reports are stored in encrypted local storage on your device so you can work offline. This data stays on-device unless you explicitly sync or export a report.
• Network State: We detect your device's connectivity status to queue changes for sync when you're offline. We do not collect location data.

3. How We Use Your Information

We use your information to:

• Provide and improve our condition report software
• Send you product updates and launch notifications (waitlist)
• Respond to your questions and support requests
• Generate AI-powered condition descriptions from your photos
• Analyse usage patterns to improve the product

We do not sell your personal information to third parties.

4. Data Storage & Security

Your data is stored securely using industry-standard encryption in transit and at rest. We use Australian and international cloud infrastructure providers. We implement appropriate technical and organisational measures to protect your data.

• Supabase — database, authentication, and file storage
• Google Gemini API — cloud AI vision for generating condition descriptions from photos when cloud mode is enabled
• Stripe — payment processing for paid plans
• Email delivery providers — for transactional and marketing emails

These providers have their own privacy policies and are bound by data processing agreements where required.
